The Challenge

They were doing everything on paper, which was inundating their staff. It’s also easier to get around standards when you’re using paper — there aren’t any fields that you have to fill in, so information that gets captured varies greatly.

Maintaining Excel manually was also very time consuming. They also accumulated a lot of paperwork over the years, which began to take up increasing amounts of office space to store — plus the expense of all the paper and toner they burned through with printing. Managers had to spend large amounts of time reviewing sales paperwork.

Wanted a more efficient, environmental solution.

The Process

We had a Discovery meeting with them to understand what they wanted to accomplish and the impact they wanted a tech solution to have on their business.

It gave us an opportunity to take them through cause-and-effect scenarios that helped them create a focused road map for growing their business.

We were able to present tech options specific to their goals. For the first time, they started to see how technology could play an integral role in their expansion and they became excited about collaborating with us on a solution.

The Solution

We built a system that replaced their Excel spreadsheet. It presented everything in a digital format that their salespeople could use during their meetings.

A huge chunk of managers’ time was freed up because they no longer had to review orders for manual mistakes — all orders were now automatically checked for errors. Because the system was designed to catch order errors, order accuracy greatly improved.

We’re now making their data even more portable / integrated by building them a custom CRM. It’s also maturing their processes because technology is based on standards — it encouraged them to standardize their processes and systems, which raised their overall standards / work output.

Also makes it easier to onboard new employees because there are standards/guidelines for how to accomplish their work.
